What is voicemail to email?

Voicemail to email is a phone system feature that delivers voicemail messages to your email inbox. When callers leave a new voicemail, recipients will get an email with details about the call and an audio file of the message.

More advanced VoIP phone systems go even further. They can transcribe the voicemail to provide a readable version of the voicemail recording.

Email still remains the bonafide messaging platform of the office. This VoIP feature unites the business phone system with the company's email in one place.

If you can receive emails, you can get voicemail notifications.

Benefits of voicemail to email

There are many advantages to getting voicemail text messages. Businesses use this voicemail service to:

  • Reply quickly. Respond with your smartphone or send voicemails to your team.

  • Save time. No need to dial your voicemail box. Read message notifications in seconds.

  • Be informed. Stay on top of urgent phone calls with a simple notification email from your phone system.

Voicemail to email FAQs

Voicemail to email works by using different technologies to deliver voicemail messages to an email inbox.

First, a Voice over Internet Protocol (VoIP) phone system is necessary to handle incoming calls. VoIP is required because it converts all phone calls into a digital format.

Second, the cloud phone system uses speech-to-text technology to create a voicemail transcription of the spoken words from a caller. It's not perfect, but with machine learning and artificial intelligence (AI), the accuracy is quite impressive.

Third, the same office phone system crafts an email with the audio file and call details, including the phone number, to the recipient.

Recipients can read incoming voicemail messages from their mobile devices using any preferred email mobile app.

Like many VoIP features, voicemail to email helps both business owners as well as customers. Enterprise-sized companies stand to gain value from voicemail to email. Employees enjoy unified communications wherever they work. It just works once the voicemail message delivery is set up.

Business communications features like this don't only benefit large companies. Small businesses can streamline their workflow and delegate voicemail messages to their team. This allows them to focus on the work that matters most.

Friends and family members benefit from voicemail to email. If a child's school calls with an urgent message, you can see the message before hearing it. This shortens the time it takes to respond. Since most office phones don't accept text messages, this is a great solution.

To get voicemails delivered to your email, you need to configure your phone system to send you emails. This varies among different providers, but with Nextiva, it's only a few clicks. You don't need to be a VoIP geek to set it up, either. Follow the steps described above to set up voicemail email delivery.

If you don't have a professional business phone service, you will need to share voicemails into your email client manually. Android users can do it easily from the visual voicemail screen, but it's an additional step that doesn't work for most business owners.

Recipients may need a special audio player since the file format is AMR, not WAV.

Traditional cable and phone companies often charge extra for a voicemail to email and voicemail transcription. If it's not an add-on charge, they require a higher-priced monthly plan for the life of the account.

The typical cost of a voicemail to email service ranges between $4.95 and $9.95 per month.

Nextiva does not charge extra with its feature-rich business phone service plans. You can even get voicemail to text messages too!
