Setting up Nextiva voicemail

Automatically route calls to voicemail during after-hours or when a call is unanswered. You can also receive an email notification with a .wav file attached, allowing you to listen to your voicemails directly from your inbox. Nextiva also offers a voicemail to text service that transcribes incoming voicemail messages and texts them to a mobile phone number. Voicemail to text is an additional fee and requires the assistance of a Nextiva support team member. Please email [email protected] for any questions.

Setting up Nextiva voicemail

Adjust user voicemail settings, such as the voicemail PIN, greeting, the number of rings before voicemail picks up, and voicemail to email.

(Admin only) From the NextOS admin home page, select Users > Actions > Voice Setup or Voice Settings if the user is already set up with voice. 

(User only) From the NextOS user home page, select Voice > Voicemail.

Select Voicemail under essential settings to record or upload your voicemail greeting, set up your voicemail PIN, voicemail to email, and more.

Under Voicemail (advanced), you can configure your business greeting, storage options, and the option to transfer calls during the voicemail greeting by pressing zero. Users can also sign in and set up their voicemail preferences or dial *86 from their Nextiva App or device.

Retrieving voicemail messages

Users can listen to voicemail messages by accessing Nextiva Voice mailbox from a Nextiva phone or external phone. If calling from the primary phone, dial *86, otherwise if calling from any external phone, dial the phone number and press the * key during the voicemail greeting. Press 1 to access the voice mailbox and listen to messages. The default PIN is 0000.

(admin only) From the Nextiva voice admin dashboard, select Users > Manager Users and select the user. 

(user) From the Nextiva voice user dashboard, select Features > Voicemail and Notification > Voicemail

Click Voicemail and Notification > Voicemail to configure the voicemail and busy greetings, voicemail to email, and more. Users can also sign in and set up their voicemail preferences or dial *86 from their Nextiva App or device.

Click Advanced Settings to access storage settings and more.

Users can listen to voicemail messages by accessing Nextiva Voice mailbox from a Nextiva phone or external phone. If calling from the primary phone, dial *86, otherwise if calling from any external phone, dial the phone number and press the * key during the voicemail greeting. Press 1 to access the voice mailbox and listen to messages.

Recording greetings 

If calling from the primary phone, dial *86, otherwise, if calling from an external phone, dial the phone number and press the * key during the voicemail greeting. Enter the PIN followed by the # key. 

NOTE: For initial setup, enter the default PIN 0000, then follow the prompts to change the PIN to a personalized 4-digit number and record a name.

No Answer greeting

The No Answer greeting plays for the callers when their call is not answered.

Press 1 > 3 > 1 > start recording at the tone and press # to stop recording. 

Busy greeting

The Busy greeting plays for callers when the user is already on a call. 

Press 1 > 2 > 1 > start recording at the tone and press # to stop recording.

Extended Away greeting

This greeting is useful for when you go on vacation or are away for an extended period.

Press > 1 > 4 > 1 > start recording at the tone and press # to stop recording. Press 1 to activate the Extended Away greeting.
