Configuring Nextiva Voicemail

Customize voicemail settings and retrieve voicemail messages via email. Nextiva also offers a Voicemail to Text service that transcribes incoming voicemail messages and texts them to a mobile phone number. Voicemail to Text is an additional fee and requires the assistance of a Nextiva Support team member. Please email support@nextiva.com for any questions regarding Voicemail to Text.

Recording a No Answer Greeting

The No Answer greeting plays for the callers when their call is not answered.

 

From the primary phone:

  1. Dial *86.
  2. Enter the PIN followed by the # key.

NOTE: For initial setup, enter the default PIN 0000 followed by the # key, then follow the prompts to change the PIN to a personalized 4-digit number and record a name.

  1. Press 1 to access the voice mailbox.
  2. Press 3 to change the No Answer greeting.
  3. Press 1 to record a new No Answer greeting. Start recording at the tone and press # to stop recording.

 

From an external phone:

  1. Dial the phone number and press the * key during the voicemail greeting.
  2. Enter the PIN followed by the # key.

NOTE: For initial setup, enter the default PIN 0000 followed by the # key, then follow the prompts to change the PIN to a personalized 4-digit number and record a name.

  1. Press 1 to access the voice mailbox.
  2. Press 3 to change the No Answer greeting.
  3. Press 1 to record a new No Answer greeting. Start recording at the tone and press # to stop recording.

 

Recording a Busy Greeting

The Busy greeting plays for callers when the User is busy (e.g. User is already on a call).

 

From the primary phone:

  1. Dial *86.
  2. Enter the PIN followed by the # key.

NOTE: For initial setup, enter the default PIN 0000 followed by the # key, then follow the prompts to change the PIN to a personalized 4-digit number and record a name.

  1. Press 1 to access the voice mailbox.
  2. Press 2 to change the Busy greeting.
  3. Press 1 to record a new Busy greeting. Start recording at the tone and press # to stop recording.

 

From an external phone:

  1. Dial the phone number and press the * key during the voicemail greeting.
  2. Enter the PIN followed by the # key.

Recording an Extended Away Greeting

The Extended Away greeting plays for callers when activated. This greeting is useful for Users who go on vacation or are away for a long period of time.

 

From the primary phone:

  1. Dial *86.
  2. Enter the PIN followed by the # key.

NOTE: For initial setup, enter the default PIN 0000 followed by the # key, then follow the prompts to change the PIN to a personalized 4-digit number and record a name.

  1. Press 1 to access the voice mailbox.
  2. Press to change the Extended Away greeting.
  3. Press 1 to record a new Extended Away greeting. Start recording at the tone and press # to stop recording.
  4. Press 1 to activate the Extended Away greeting.

 

From an external phone:

  1. Dial the phone number and press the * key during the voicemail greeting.
  2. Enter the PIN followed by the # key.

Configuring Voicemail to Email

Voicemail to Email allows Users to be notified by email when they receive a new voicemail message. They can also configure the feature to attach the voicemail message as a .wav file to the notification email. Use the Nextiva Voice Portal to set up Voicemail to Email.

  1. Visit www.nextiva.com, and click Client Login to log in to NextOS.
  2. From the NextOS Home Page, select Voice.
  3. From the Nextiva Voice User Dashboard, select Features at the top-right corner. 
  4. Click to expand the Voicemail and Notification section, then click the Voicemail option.
  5. Configure the following settings:
    • Alert Me Of Voicemail: Select this checkbox to send a notification email to the specified email address when a new voicemail message arrives. The notification email will not include the voicemail message. The User will need to retrieve the voicemail from a phone.
    • Send Attachment Of Message: (Recommended) Select this checkbox to send a notification email with the voicemail message attached (.wav file) to the specified email address.
  6. Click Save.

 

Configuring Advanced Settings

Use the Nextiva Voice Portal to customize advanced voicemail settings.

  1. Visit www.nextiva.com, and click Client Login to log in to NextOS.
  2. From the NextOS Home Page, select Voice.
  3. From the Nextiva Voice User Dashboard, select Features at the top-right corner. 
  4. Click to expand the Voicemail and Notification section, then click the Voicemail option.
  5. Click Advanced Settings, configure the desired settings:
    • Select the type(s) of calls to go to voicemail (All Calls, Busy Calls, Unanswered Calls).
    • Enable call forwarding to the specified number when the caller presses 0 while the voicemail greeting is playing. 
    • Define how to store voicemail messages. Storing voicemail on the Nextiva system allows the User to retrieve voicemail from any phone at any time. Selecting the Do not store, email to option sends all voicemail to the specified email address to be stored outside the Nextiva system.
  6. Click Save.

 

Retrieving Voicemail Messages

Users can listen to voicemail messages by accessing Nextiva Voice mailbox from a Nextiva phone or external phone. 

NOTE: Users who select the Do not store, email to option in Advanced Settings can retrieve voicemail only by email as they have opted to store voicemail messages outside the Nextiva system.
