Getting started with Nextiva Business Phone for Microsoft Teams

Nextiva Business Phone for Microsoft Teams allows you to make and receive calls from within the Teams workspace – giving you Amazing Service® and the reliability of Nextiva with Microsoft Teams.

Requirements

  • Nextiva license requirements: 
    • One Nextiva business communication enterprise license is required per user
  • Microsoft Team license requirements: 
    • E5 License (Includes Teams Phone)
    • E3 License + Teams Phone
    • E1 License + Teams Phone
    • Microsoft 365 Business Basic + Teams Phone
    • Microsoft 365 Business Standard + Teams Phone
    • Microsoft 365 Business Premium + Teams Phone
  • At least two unassigned O365 licenses. These licenses are used only during setup and can be removed afterward. 
  • Microsoft Teams must be assigned as the primary device under Generic SIP phone. You must set up a shared call appearance if you have a physical device as your primary phone. For more information, click here. 
  • Google Chrome and Microsoft Edge are the supported browsers. Make sure to turn off all ads or pop-up blockers for Call2Teams. 

NOTE: Make sure you don’t have the Domestic Calling Plan license assigned to any users using the integration. Also, make sure to set the upgrade settings to teams only in Microsoft Teams. For instructions on how to set upgrade options, click here.

Account setup

Once received, Accept the Nextiva teams integration invitation via email. This will open the team’s integration portal in a new browser tab. Follow the prompts to log in as a Global Administrator and allow all global changes.

Click Check My Tenant, enter the Global Administrator account login information, check Consent on behalf of organization, and Accept. Correct any issues identified by the integration wizard and click Next.

Select the appropriate PBX from the drop-down menu, depending on your geographic location, then click Next.

Click Enable Service > Accept or Select your Global Administrator to begin the sync; this process may take up to 15 minutes, depending on account size.

Click Next once the sync is complete to set up your first user. Select a User and enter the user’s SIP details (SIP Username, Auth Username, and Password from the NextOS Admin portal (Users > Actions > Voice Settings > Phone > Show configuration details). Click Add User and Sync. 

 

 

Adding additional users

Under the Users tab in Team, select Add Users. Select a User and enter the user’s SIP details (SIP Username, Auth Username, and Password from the NextOS Admin portal (Users > Actions > Voice Settings > Phone > Show configuration details).

Bulk user import

To bulk import users, select Import Users under the Users tab in Teams > Download CSV Template.

Open the file “import-template.csv”, and enter the required information (see below for definitions). When ready to upload, click Browse and select the template > Upload.

CSV fields definitions

SIPUsername

The SIP username displayed in the user’s Nextiva voice portal.

Name

The user’s name.

Email

The user’s email address. IMPORTANT: This email address MUST match the team’s email address of the user. 

PhoneNumber

The user’s Nextiva phone number. 

AuthUsername

The Authusername displayed in the user’s Nextiva voice portal.

Password

The device password displayed in the user’s Nextiva voice portal.

ExternalID

Leave blank.

Making and receiving calls

Make and receive calls directly from Microsoft Teams using your Nextiva phone number.

Making an outbound call

Click Calls on the left and enter the phone number or extension using the dial pad at the bottom of the screen.

Answering an inbound call

When receiving an inbound call, a call pop will display at the bottom right, with the options to Answer or Decline.

Transferring a call

While on an active call, click the ellipsisTransfer > enter the phone number or extension > Transfer.
