How to Upload an Auto Attendant Greeting

Now you can customize your Auto Attendant messaging for any occasion or purpose by uploading an existing file to the Nextiva system, using the Announcement Repository. Once your greeting has been created and saved as a .wav file, you're welcome to upload it to your account by following the instructions below.


To upload a recorded file, you must follow these formatting rules:

  • PCM Uncompressed (sometimes called u-Law)
  • .wav file type
  • 8 or 16 Bit
  • 8000 HZ
  • Mono
  • Also, please note files larger than 2MB may not upload.

NOTE: These files require specific formatting. For assistance formatting a file or uploading to the Announcement Repository, contact Nextiva support.

This is the only file format accepted within the Nextiva system. There are many audio file converters available for free online. You are also able to record custom greetings via the Nextiva phone system. For information, please click here.


How do I upload an Auto Attendant greeting?:

  1. As an administrator, you can access the NextOS portal by clicking HERE.
  2. Log in to the portal with your admin credentials.
  3. From the main dashboard, select Manage Locations  (FIgure 1-1), and then choose the Location you'd like to attach the recording under by clicking on the Pencil icon to the right (Figure 1-2).

  4. Scroll down to the Announcements section and click to expand the options. Here you can see your existing files and upload a new file (Figure 1-3).

  5. To delete a file, hover over the Trash can icon and click (Figure 1-4).

NOTE: Maximum Repository capacity is 5MB/box (NOTE: Users have their own Announcement Repositories).  


 

How do I assign a greeting to my Auto Attendant?

  1. Click on Auto Attendants under Advanced Routing (Figure 1-5).

  2. Choose your Auto Attendant from the list or click to create a new Auto Attendant (Figure 1-6).

  3. Choose either your Business Hours Menu or After Hours Menu, whichever you want updated (Figure 1-7).

  4. Click the Menu option on the list to expand it.
  5. Under your Business Hours Menu options, click the drop-down menu under Greeting (Figure 1-8). All of the files in your Announcement Repository will be on the list.

  6. Select the option you prefer and click Save.
