How to upload an Auto Attendant greeting

Customizing your Auto Attendant message or Voicemail greeting is completely up to you with Nextiva’s phone service. Once you have completed recording the message, you’re welcome to upload it to your account by following the instructions below. Also, Nextiva can upload files to your account at no additional cost to you.


To upload a recorded file, you must follow these formatting rules:

  • .wav
  • PCM Uncompressed (sometimes called u-Law)
  • 8 or 16 Bit
  • 8000 HZ
  • Mono
  • Also, please note files larger than 5MB may not upload.

This is the only format accepted within the Nextiva system at this time. There are many audio file converters available for free online. Nextiva Support can also convert the file for you and send it back or upload it if you choose. If you would like us to upload the greeting for you, please send an email with the file to support@nextiva.com. If you include upload instructions and account verification, Support will convert the file, upload and send it back to you within 24 to 48 hours.

For Auto Attendant Recordings:

  1. For administrators, log in to the NextOS Portal by going to www.nextiva.com and selecting Customer Login from the top right corner. Enter your login credentials and click Sign in. Select Sites & Employees then click on Login under the Admin Login column.
  2. Next click Services from the left-hand menu. Choose Auto Attendant under Basic Services.
  3. Choose your pre-configured Auto Attendant by clicking on it, then select Profile under the Basic column.
  4. Choose the Business Hours or After Hours menu, depending upon your needs.
  5. Next click Personal Greeting instead of default, and then “Browse” to find your file. Once the file is selected, click Open, and then click OK to save changes. Remember, the recording must be in the proper format for it to upload correctly.

For Voicemail Recordings:

  1. For administrators, log in to the NextOS Portal by going to www.nextiva.com and selecting Customer Login from the top right corner. Enter your login credentials and click Sign in. Select Sites & Employees then click on Login under the Admin Login column. Click Users and search for the employee whose information you wish to edit. Click Edit. For users, log in to the Customer Portal by going to cp.nextiva.com.
  2. Once you are at the user-level, choose Messaging from the left-hand menu. Click Greetings to customize the No Answer or Busy message callers hear.
  3. Next click Personal greeting instead of default, and then “Browse” to find your file. Once the file is selected, click Open, and then click OK to save changes. Remember, the recording must be in the proper format for it to upload correctly.
